Terms and Conditions
Welcome to Lapland Fox Tours Oy. These Terms and Conditions apply to tours, excursions, multi-day programs and related services booked directly with Lapland Fox Tours.
By completing a reservation, the customer confirms that they have read, understood and accepted the product description, price, inclusions, important information, cancellation policy and these Terms and Conditions.
The Terms and Conditions presented and accepted at the time of booking apply to that reservation. Later changes will not apply retroactively to previously confirmed bookings.
1. Booking and Confirmation
All bookings are subject to availability.
A booking is confirmed only after the customer has received written confirmation from Lapland Fox Tours and any required payment has been successfully completed.
The person making the reservation must provide accurate information for all participants and ensure that every member of the group is aware of the applicable conditions.
Bookings for individual experiences are accepted from 1 participant, unless different requirements are clearly stated in the product description.
Bookings for individual experiences normally close 10 hours before the scheduled starting time. Different cut-off times may apply to private arrangements, multi-day programs or services requiring confirmation from an external provider.
2. Prices and Payments
Prices are displayed in euros (€) and may vary according to the selected experience, season, participant age, optional services and other conditions shown at the time of booking.
Unless otherwise clearly stated, published consumer prices include applicable VAT.
Only the activities and services expressly listed under “What’s Included” are included in the price. Flights, accommodation, meals, transportation, activities or other services not expressly identified as included are the customer’s responsibility.
Accommodation and flights are not included unless expressly stated in the selected program.
Payments must be completed using the payment method and within the payment period communicated during the booking process. A reservation may be released if the required payment is not received within the stated period.
3. Customer-Requested Changes
Requests to change a confirmed reservation are subject to availability and may involve a price difference or additional costs charged by an external provider.
Lapland Fox Tours will make reasonable efforts to accommodate requested changes but cannot confirm a modification until it has been accepted in writing.
Changing the date, number of participants or included services may be treated as a cancellation and new booking when the original arrangements cannot be modified.
4. Tour Programs and Itineraries
Lapland Fox Tours aims to operate every experience according to the description and itinerary presented at the time of booking. However, Arctic conditions and supplier schedules can change.
The order, route, location, schedule or timing of activities may be reasonably adapted due to weather, snow, ice, safety considerations, availability of local providers, seasonal conditions, official restrictions or operational requirements.
When a change is necessary, Lapland Fox Tours will make reasonable efforts to preserve the principal content and overall quality of the booked experience.
If a significant part of the confirmed experience cannot be provided, Lapland Fox Tours will offer an appropriate alternative, rescheduling or refund according to the circumstances and applicable law.
5. Weather and Natural Phenomena
Many Lapland Fox Tours experiences take place outdoors and depend on changing natural conditions.
During Northern Lights experiences, the guide actively monitors weather forecasts, cloud coverage, auroral activity and real-time conditions and adapts the route to maximize the opportunities for observation.
Northern Lights visibility depends on natural factors beyond the control of Lapland Fox Tours. When the scheduled Northern Lights hunting experience has been provided as described, the absence of visible auroras does not by itself entitle the customer to a refund or compensation.
The same principle applies to wildlife sightings and other naturally occurring phenomena.
6. Seasonal Activities
Certain activities depend on suitable snow, ice, weather, trail or environmental conditions.
Husky sleigh rides, reindeer sleigh rides, snowmobiling, snowshoeing, ice fishing and similar activities may be adapted, rescheduled or replaced when conditions require it.
The availability and distance of husky and reindeer sleigh rides may vary according to snow, trail and safety conditions.
Ice fishing will take place only when the selected ice area has been assessed as suitable for the activity.
Safety will always take priority over the original route, schedule or activity order.
7. Participant Responsibilities
Participants must follow all safety instructions provided by Lapland Fox Tours guides and external activity providers.
Children must remain under the supervision of a responsible adult throughout the experience.
Customers must provide accurate participant ages and inform Lapland Fox Tours before the activity of any medical condition, mobility consideration, allergy, food intolerance, dietary requirement or other relevant circumstance that could affect safe participation or the services provided.
Participants are responsible for arriving at the confirmed pickup or meeting point at the stated time. Late arrival may be treated as a no-show if the activity cannot reasonably be delayed.
Lapland Fox Tours may refuse or discontinue a participant’s involvement when their conduct creates an unreasonable risk to themselves, other guests, guides, animals, equipment or property.
8. Clothing and Equipment
When thermal winter clothing or activity equipment is included, Lapland Fox Tours will provide the items listed in the product description for use during the activity.
Participants must still wear suitable personal layers, socks, gloves, hats and other clothing appropriate for Arctic conditions.
Provided clothing and equipment must be used according to the guide’s instructions and returned at the end of the activity.
Customers may be responsible for loss or damage caused deliberately or through negligent misuse, subject to applicable law.
9. Transportation and Pickup
When included in the selected experience, pickup and return are provided from accommodations or agreed pickup points in the Rovaniemi area.
The customer must provide accurate accommodation and contact information. The exact pickup point and time will be confirmed before the experience.
Pickup outside the normal operating area is not included unless separately agreed in writing and may involve an additional charge.
Pickup and return are components of the booked experience and are not sold as independent passenger transportation services.
10. Small-Group Experiences
Lapland Fox Tours specializes in personalized small-group experiences.
Each operating group may include a maximum of 8 participants, depending on the selected experience.
When demand, guides, vehicles, equipment and supplier availability permit, more than one small group may operate on the same date. Each group will continue to maintain the applicable small-group limit.
A product described as a small-group experience is not automatically private. Private operation applies only when expressly stated in the booking confirmation.
11. Customer Cancellations and Refunds
For individual experiences booked directly with Lapland Fox Tours:
Cancellations made at least 24 hours before the scheduled starting time qualify for a full refund.
Cancellations made less than 24 hours before the scheduled starting time are non-refundable.
Bookings made less than 24 hours before the starting time enter the non-refundable period immediately after confirmation.
Multi-day programs, private arrangements and services involving external providers may have different cancellation conditions. The specific cancellation policy displayed for the selected product and accepted at the time of booking will apply.
Because tours and activities are leisure services provided on a specific date or during a specific period, the general 14-day withdrawal right applicable to some distance contracts does not normally apply. The cancellation conditions stated above apply instead.
No refunds will normally be issued for no-shows, unused services, late arrivals or voluntary early departure.
Approved refunds will be returned through the original payment method whenever reasonably possible and processed without undue delay.
12. Bookings Through Online Travel Agencies and Partners
When a reservation is made through GetYourGuide, Viator, Civitatis, Airbnb or another authorized sales partner, the price, payment, amendment and cancellation conditions displayed and accepted on that platform apply to the booking.
Customers must submit cancellation or amendment requests through the same platform when required by the relevant booking channel.
These Terms and Conditions continue to apply to operational, safety and participant responsibilities to the extent that they do not conflict with mandatory law or the conditions of the booking platform.
13. Cancellation by Lapland Fox Tours
Lapland Fox Tours may cancel, postpone or interrupt an experience when it cannot be operated safely or as agreed due to weather, environmental conditions, official restrictions, provider availability, equipment problems or other circumstances beyond reasonable control.
When Lapland Fox Tours cancels an individual experience, the customer will be offered an alternative date whenever reasonably possible. If the customer does not accept the alternative or rescheduling is unavailable, the amount paid for the cancelled experience will be refunded.
For partially completed or multi-day programs, any alternative arrangement, price reduction or refund will be determined according to the affected services, product-specific conditions and applicable law.
Lapland Fox Tours is not responsible for independent travel costs, accommodation, flights or other services purchased separately by the customer, except where liability is required by applicable law.
14. Customer Travel Insurance
Customers are strongly encouraged to obtain comprehensive personal travel insurance.
Recommended coverage includes medical expenses, accidents, personal belongings, trip cancellation, travel interruption, flight disruption and other unforeseen circumstances that may affect participation.
The customer is responsible for reviewing the coverage, limitations and exclusions of their own insurance policy.
15. Personal Belongings
Participants are responsible for their personal belongings throughout the experience.
Lapland Fox Tours cannot be held responsible for items that are lost, forgotten, damaged or stolen, except where the loss results from circumstances for which Lapland Fox Tours is legally responsible.
16. Safety
Lapland Fox Tours reserves the right to modify, postpone, interrupt or cancel an activity when continuing could present an unreasonable safety risk.
Participants who deliberately disregard instructions or behave in a way that may endanger themselves, other participants, guides, animals, equipment or property may be excluded from the activity.
Exclusion resulting from the participant’s unsafe or seriously disruptive conduct does not normally qualify for a refund.
Nothing in these Terms and Conditions limits liability that cannot legally be excluded or restricted under applicable law.
17. Third-Party Services
Some experiences include services operated by independent farms, attractions, wildlife facilities, transportation operators or other external providers.
Participants must comply with the safety rules and operating requirements of those providers.
Lapland Fox Tours will make reasonable efforts to provide the confirmed services and assist customers when an external provider changes or cancels an included activity.
18. Photography
When digital photographs are listed as included, the guide may take photographs during the experience and provide selected images to the participants.
Photography may depend on weather, safety, lighting, equipment and operational conditions.
Photographs provided as part of the experience are intended for the customer’s personal use.
Lapland Fox Tours will not use identifiable customer photographs for advertising, website content or promotional purposes without appropriate permission or another lawful basis under applicable privacy legislation.
19. Force Majeure and Exceptional Circumstances
Lapland Fox Tours may be prevented from or materially affected in providing services by circumstances beyond reasonable control, including extreme weather, natural events, government restrictions, official decisions, transportation disruptions, emergencies, strikes or other exceptional events.
When possible, Lapland Fox Tours will offer reasonable alternatives, rescheduling or an applicable refund for services that cannot be provided.
The rights of the customer under mandatory consumer legislation remain unaffected.
20. Complaints and Dispute Resolution
Customers should notify Lapland Fox Tours of any problem as soon as possible so that the company has a reasonable opportunity to address it.

21. Applicable Law
These Terms and Conditions are governed by Finnish law.
Nothing in these Terms and Conditions restricts any mandatory consumer rights available under Finnish or other applicable consumer legislation.
